Background
In October 2025, Arinex delivered the IUPESM World Congress on Medical Physics and Biomedical Engineering, one of the world’s leading scientific gatherings at the intersection of healthcare, technology and engineering.
Hosted at the Adelaide Convention Centre, the congress brought together more than 1,100 delegates from across the globe, with over half travelling internationally. Across five intensive days, the program featured more than 1,100 abstract submissions, 40 specialist symposia, up to 12 concurrent sessions and a comprehensive exhibition and social program designed to foster collaboration, innovation and knowledge exchange.
The CHALLENge
The IUPESM World Congress is a highly complex, multidisciplinary event governed by international scientific bodies and delivered on a global rotation. The Adelaide edition followed a multiyear bid and rescheduling process, with Arinex appointed as Professional Conference Organiser in 2022 to lead delivery for the 2025 congress.
The scale of the program, extended operating hours and high volume of international speakers required meticulous planning, advanced technology integration and close coordination across venue, destination and association partners.
the Approach
Arinex worked in close partnership with Business Events Adelaide and the Adelaide Convention Centre to deliver a seamless delegate experience across the Centre’s East, Central and West buildings.
Technology played a central role in the event experience. Onsite registration kiosks, a dedicated mobile app and digital poster program supported efficient delegate flow and engagement, while speaker preparation facilities ensured presenters were fully supported across a dense, multi-stream scientific program. scientific program.
The exhibition halls, plenary spaces, catering zones and social venues were carefully planned to support movement, networking and accessibility, while allowing the congress to operate at scale from early morning through to evening events.
