Background

In July 2025, Arinex delivered one of the world’s most complex and significant academic congresses, the 30th International Population Conference (IPC 2025), bringing the global population science community to Brisbane, and for the first time in full conference format, to Australia.

Held at the Brisbane Convention and Exhibition Centre, IPC 2025 convened more than 1,300+ delegates from across the globe, with over 88% travelling internationally. Over six days, the conference included 1000+ abstract submissions, 800+ speakers, 24 thematic streams and a highly technical, multivenue program designed to support both rigorous academic exchange and real world policy impact.

THe challenge

IPC is delivered only once every four years and is governed by the International Union for the Scientific Study of Population (IUSSP). The scale, governance requirements and academic rigour place it among the most operationally demanding conferences in the world.

Arinex was appointed as Professional Conference Organiser to manage endtoend delivery, including complex international financial models, largescale speaker management, advanced technology integration and close collaboration with global, national and local stakeholders.

the Approach

Success relied on deep collaboration across destination, venue and delivery partners. Arinex worked alongside the Brisbane Convention and Exhibition Centre, Brisbane Economic Development Agency, Tourism and Events Queensland and Tourism Australia to ensure both global appeal and local legacy.

A key operational focus was enabling a seamless experience for more than 800 speakers. A dedicated speaker preparation room supported eSpeaker technology, allowing presenters to upload and manage presentations efficiently, a critical requirement for an event of this scale and density.

The exhibition and public spaces were carefully curated, with furniture, signage and booth design working together to support navigation, networking and delegate comfort across the venue.

Culture, Place and storytelling

IPC 2025 was grounded in place through a strong First Nations narrative. The official conference artwork was created by Aboriginal digital artist Bree Buttenshaw, a proud Kalkadoon woman from Quandamooka Country. Her design reflected global interconnectedness while honouring the cultural landscape of Meanjin, Brisbane.

The artwork story was displayed at registration, inviting delegates to engage with the meaning behind the visual identity and reinforcing the conference’s commitment to inclusion, respect and reconciliation.

the outcome

IPC 2025 positioned Brisbane as a leading destination for complex, knowledge driven international conferences and reinforced Australia’s growing influence in global population science.

For Arinex, the event demonstrated the power of strategic collaboration, cultural storytelling and operational excellence at scale, delivering a conference that was not only technically seamless but deeply connected to place, people and purpose.
