The Opportunity
We’re seeking a detail-oriented and proactive Project Coordinator to join our dynamic Conference Operations Team. In this role, you’ll play a pivotal part in supporting the successful planning and delivery of conferences and events that inspire connection and deliver exceptional experiences for our clients.
You’ll be hands-on with event logistics, administration, and client engagement, ensuring every detail is executed to perfection. This is a full-time position available in Brisbane, Sydney, Melbourne, or Perth, with flexible working arrangements to support work-life balance.
What You’ll Be Doing
- Managing administration activities such as updating databases, sourcing quotes, drafting project plans, and event schedules
- Building strong client relationships to foster loyalty and repeat business
- Preparing meeting agendas and action notes for client meetings
- Supporting the development and implementation of conference strategies to maximise delegate engagement
- Compiling project reports and assisting with budget tracking
- Researching new suppliers, venues, and industry trends to enhance event delivery
- Collaborating with internal teams to drive continuous improvement
- Acting as venue liaison to ensure seamless communication and delivery of services
What You’ll Bring
- Minimum 2 years’ experience in an event management support role
- Strong organisational and time management skills with the ability to meet deadlines
- Excellent interpersonal and communication skills
- High attention to detail and accuracy
- Ability to use initiative and work collaboratively in a fast-paced environment
- Proficiency in MS Office; experience with EventsAIR, Salesforce, or similar platforms is desirable

Arinex is a dynamic conference, special events and destination management company. Built on experience and innovation, Arinex is Australia’s first carbon-neutral event management organisation. Our ambitious mindset and global reach evokes creativity as we embark on a journey of connection and belonging.
We currently have opportunities for interns within the following business units:
• Conference Organising
• Incentive Travel & Destination Management
You will gain hands on experience supporting and delivering several exciting events and conferences working on client accounts across a variety of different industries.
This Internship Program is unpaid on a voluntary basis for a period of up to six (6) months with a minimum of two (2) days per week (days are negotiable), located preferably in Melbourne office, however open to other locations for the right candidate.

To be successful in securing an internship you will ideally meet the following criteria:
• Studying or recently completed study in Event Management.
• Strong written and verbal communication skills.
• Great organisational and prioritisation skills.
• Excellent attention to detail.
• Positive “can-do” attitude!
• Intermediate Microsoft Office Software skills (including Excel and Word).
